Description of the board roles

Board in our club

In order to keep things going we have our board. Every board member has a special task they take care of to keep the machine running. These tasks are not big by any means, but rather things that require extra attention and as such need to be taken care of. To allow board members to have time outside of their responsibilities, we aim to thin their workload and keep them as light as possible.

Board members will be expected to attend meetings because at least half of the board members need to be present to the meeting to be a legal one. So some kind of interest for the club is at least recommended.

Chairperson/Chairman

A job of the chairperson is usually overlooked as it’s felt way too big. However, in our club your job is a simple one: to keep the machine rolling and on the right path. So you’ll regularly organise meetings and create conversation to help the rest of the club achieve what they are set to accomplish. You’ll be the leader of the bunch, so keeping the club in check is your responsibility, though you don’t need to carry it alone as other members of the board will help you to do so.

Even if you haven’t been a leader or haven’t been in this club before, you can fill this role easily as long as you are interested in doing so and want to do things as a team. You’ll get personal guidance from old members of the board beforehand and throughout the year.

Secretary

As a secretary your main goals are to record how meetings progress, and handle storing these notes for the archive. Even if you don’t have any experience being a secretary it’s perfectly fine, as others can help you learn the ropes. The only thing we recommend is to be interested in participating in the meetings and club’s actions as it’ll make your time a lot more pleasant during the meetings. Currently we write our official documents in Finnish.

Treasurer

The job of a treasurer is mostly as regular as the two previous ones, but instead of papers or humans you’ll play with the cash. Your responsibility is to do the payments that are approved in the meetings and send the invoices during the year. Outside of those two your job is to figure out the budget and do the ever so lovely financial statements after the year. These are not hard things by any means, and you aren’t doing them alone, but you’ll have some benefit from prior experience.

Master of Communications

As we organise events it’s usually a good idea to inform about those to the members. For that purpose our club needs a communicator whose sole purpose is to write messages and emails to our different kinds of platforms such as mailing list and social media. If you want to, this role allows you to also express your visual creativity as events always look better with some kind of logo or poster related to them. Of course, others are often willing to help with the graphical side of things as well.

Master technician

Have you ever found yourself figuring out how streaming works? Or found interest towards different kinds of machines which make all kinds of things went put together? What about just plain PC and network connections?

If that sounds even remotely intriguing this role is the one for you. While we don’t have the largest sets of machines or biggest setups for the stream, we do have some technology which are in a good use. And to keep those things usable we need somebody to fill the role of master technician to keep everything working. If you don’t know yet how things work, don’t worry, as this is the best place to learn this stuff. Our older members are more than willing to let you know how you can produce streams with high production value using our machines.

This role also includes taking care of the things we sometimes loan to other organisations. This means a few times a year you’ll be handing some machines and wires to those who request them.

Master of Clubroom

As the title says in this role you’ll be the sole master of the clubroom whose job is to make sure that the room stays usable. As our clubroom includes a vending machine and bottlecloset, these are included in your role. However, all this means is that you need to make sure that the rest of the board and officials do their cleaning when it’s supposed to happen. Even as the master of the clubroom you don’t do more cleaning or handling the bottles than the others. Just organising these things, as well as occasionally taking care of extra tasks such as getting some equipment.

Event Coordinator / Master of Events

As we have plenty of people in our club who haven’t organised an event yet want to make amazing events happen, we have a need for an event coordinator. We value your past experience and knowledge of what makes an event successful, as well as what makes the event happen in the first place.

We want to point out that we aren’t expecting this single person to carry the events from start to finish, but rather help others to create whatever events they want to do.

An official in our club

For officials, there are some slight differences from other roles. Outside of general responsibilities such as cleaning and general events, officials do not have any responsibilities necessarily. Rather, they are the backbone of our club and produce whatever our club does. For example, if we are making AKL or some other big event it will mostly be our officials that make things happen whereas our board provides the possibility to make it.

So shortly, they have potential to do what they desire to achieve in our club. If you have any ideas related to our club, video games, organisations in general or streaming and the like, this role is for you.

But if you don’t want to do anything new you can also just come here and join us to make things we already love doing. There are both regular events such as Smash or dance games as well as bigger events or leagues such as AKL.
